Team Manager's Handbook

Welcome to Eastside Memorial FC.  The Club would like to thank you for volunteering to be the manager of one of our EMFC teams.  This can be a very fun and rewarding way to spend your time and we would like to make this as easy as possible with the help of this handout.  

Introduction 
Are you a new manager and want to know what your next steps are?
  1. Register yourself as a manager with EMFC.  Contact the Eastside Memorial Office by emailing office@eastsidememorialfc.com or call 587-225-4372.  You may be asked to provide information about yourself and the team you will be with. We’ll make sure you are on the roster and set up properly.
  2. Have your security check in place.  Calgary Minor Soccer Association (CMSA) requires all coaches and managers to have their police clearance (ePIC).  This is an online application.  Instructions can be found on the CMSA website here. 
  3. Officials card (CMSA photo ID - Coaches card) – You are now part of the team and considered a team official.  All team officials on a U9 to U19 team will require a CMSA photo ID card.  New photo IDs are $10 each and valid for 3 years.  Expired IDs can be replaced for free.  
  4. Respect In Soccer (RIS) – Online program provided by CMSA. RIS program
  5. CMSA also has a welcome package for all new managers and coaches which can be viewed here or downloaded directly from the CMSA website.  
There are many tasks for a team manager; which may include Fundraiser/Tournament Coordinator and Treasurer, however, some of these can be distributed amongst the parents. Everyone is volunteering their time to make the soccer season the best experience for our children so remind parents of this to get their help. 
 
Your help allows the Coach to be a Coach!
 
Organization

The parents need to know where and when practices and games are going to be.  They should be informed of the expected uniform.  Make sure that you have an email list and phone numbers of all the parents.   Here are a few helpful apps you may use to help organize the team:
 
GoalLine App – There is a GoalLine App that allows you to track practices and games of teams you are following.  This is a free app and is linked directly with GoalLine.  Schedule updates to the CMSA schedule as well as the Eastside Memorial website can be viewed here.  This app is very handy as alerts can be set up when changes have been made to the team schedule.
 
Team Manager Apps – Team Snap is a common app for you to use.  It is not required as many managers may choose to use Google Calendar or other share-able programs to organize their team.  Some teams even use WhatsApp as a Communication Tool. 
 
It is a good idea to share or post emails and phone numbers so that all parents have access (see above apps).  Listing the parent’s names is also helpful for families to get to know one another.  A weekly email to the parents with weekly activities works well.  Work with the coach in setting up the information to be sent.
 
Uniforms/Equipment
A game bag, practice balls and uniforms will be handed out at the beginning of each soccer season.  The coach and manager are responsible for the return of the equipment and uniforms at the end of the season.  Collecting all the game shirts after the last game of the season works well but they do need to be washed before they are returned.
 
Some managers may choose to hand out the uniforms at the beginning of each game and collect them at the end.  This ensures that the team always wear the same colours and no one forgets their jersey. 
 
Field Location and Closure Information
Field closure is always a possibility in the outdoor season due to bad weather.  Check the website for EMFC Field Status.  Higher tiered games may require you to phone the closure phone line to find out if a field is open or closed.  Verify the information on the City of Calgary website or by phoning 403-268-2300.  The telephone message is updated more often than the website.  The status of athletic fields will be updated at 4 pm on weekdays and twice on weekends..  Once before 9 am and again at noon.  
 
What to do when there is a rainout/snow out?
  1. Contact your team’s families.  Inform them of the game cancellation.
  2. Contact with the other team’s coach/manager.  A list of coaches and managers will be accessible through our CMSA GoalLine login.  Your login information will be provided by CMSA at the beginning of each season.
  3. Reschedule the game.  Work with the other team to reschedule the game.  It is the HOME Team’s responsibility to organize this.  Instructions on how to reschedule the game with CMSA can be found here or directly on the CMSA website under the Coaches, Managers and Admin Information.
Call ups
From time to time, your team may need extra players from another team as players may be injured and require rest or maybe away on holidays.  Coaches and Managers may be contacted by another team to request some help.  Courtesy is to lend players as needed.  Note that a player may be called up 5 times during per regular season per club.  The sixth call up would result in a team transfer.

Game Day
Here is a checklist of things to bring and organize before every game:
  • Confirm Attendance.  You may need to coordinate rides for some parents.  Games may be played anywhere in the city and may start as early as 6:15 pm. 
  • Officials/Players Cards – Do you have all of the Players and Officials cards?  Coaches/Officials cards are required for all U9-U19 teams.  U7-U11 do not require player cards.
  • Game Sheets – Print out 3 copies of the game sheets from your CMSA GoalLine Login Account.  Click here to see how to print  Before handing the game sheets over to the referees, make sure that:
    • The Coach has signed all 3 copies of the game sheets.
    • The Field Marshall has signed all 3 copies of the game sheets.
    • Ensure all players are eligible to play.  Ineligible (INEL) players need to submit their waivers online.
    • Absent and Ineligible players must be crossed off all game sheets.
    • Ensure Jersey # match players name.
    • Call ups must be written on all 3 copies.
    • If game sheets are not filled out properly, this could result in a forfeit or fine to the club depending on the error.
  • Field Marshall – CMSA has made it mandatory that a parent from each team assign a field marshal for every game.  They must be identified by wearing the orange armband.  Field marshals ensure proper behaviour of the team’s parents during the game.  Field Marshal responsibilities can be found in the CMSA Rules and Regulations Section 3 of the Game Management (page 37) or here  
  • Field set up – (U7-U11 teams only)  When playing at a HOME field, your team is responsible for putting the nets and the corner flags.  They also must remove these items after the game.  There are locked equipment boxes at the soccer fields which coaches will have access to.  HOME teams must arrive earlier to set up the field.
  • Linesman – A volunteer will be needed to be a linesman at all outdoor games (exception Tier 1).  This responsibility should be shared by all the team’s parents.  If there are no volunteers, it is suggested to make a schedule so that each family takes a turn.
  • After the game – After each win, post the score onto GoalLine.  The winning team is responsible to enter the score and it should be done as soon as possible ideally within 24 hours.  At the beginning of a season, CMSA will send a login and password to log in.
Other Responsibilities:

Health and Safety – Soccer is a sport and in sport there are injuries.  CMSA has a concussion policy which outlines responsibilities as a soccer parent and coach.  The CMSA website also offers an online course on concussions.  Click here more information.
 
Emergency Contact information – Parents are not always present at practices and games.  Contact information should be made available and updated.
 
Team Account - If your team would like to open up a bank account, we suggest that you contact a Credit Union, for examples; Servus Credit Union and First Calgary.  Request to open up a Community Account.  Click here to request a letter to present to the bank.  

Fundraising – A team may wish to hold fundraisers to help with additional costs of tournaments and team gear.   Fundraising is a team responsibility and there should be an agreement amongst the team and all members on fundraising.  Some fundraising options are: Bottle drives, back sales, raffles, 50/50, door prizes and the list goes on.  Be aware that 50/50 and raffles may require a license, please go to the AGLC website here for more information. 

Sponsorship - If you are looking at getting sponsorships from 3rd parties and require a letter, please follow the link here to request your personalized team letter.
 
Bingos and Casinos – Parents can earn credit vouchers for volunteering at bingos and/or casino on behalf of the club to be put towards fees and/or Fishers Soccer Shack. This is always an option.  For more information on bingo times click here or email bingo@eastsidememorialfc.com 
 
Tournaments – For the development of the players, the coach may want the team to attend a tournament during the season.  These could be anywhere in Alberta, out of province, in the US or out of the country.  Each tournament has a registration fee.  Contact the EMFC office if you plan to attend a tournament as they may have a budget to help with some of the registration costs.  Other costs such as travel, hotel and food will need to be covered by the families.

You may request permission of players from other clubs.  This requires a form to be filled out.  This can be found here.
 
Travel Permits – For tournaments that are out of the province or country, a travel permit must be filled out and submitted.  There is a fee associated with the permit.  For more information please see the CMSA website under Travel Permits.
